The Most Common Conference Room AV Complaints in Dubai
After installing and maintaining smart meeting rooms across Dubai, we see the same problems repeatedly. Most have simple fixes — once you diagnose the actual cause.
Problem 1: Echo and Reverb
Cause A: PC built-in microphone is active alongside conference microphone.
Fix: In Windows Sound Settings, disable the built-in PC microphone as an input device. Set only the conference room microphone (Logitech, Jabra, Poly) as the default.
Cause B: Acoustic echo in the room.
Dubai conference rooms with hard floors, glass walls, and no acoustic treatment create significant echo.
Fix: Add acoustic panels to rear wall. Move microphone closer to speakers. Add carpet or soft furniture.
Cause C: Speaker volume too high feeding back into the microphone.
Fix: Reduce speaker volume by 20% and test. Ensure directional microphone is facing participants, not speakers.
Problem 2: Choppy or Pixelated Video
Cause: Insufficient internet bandwidth or WiFi issues.
Test: Run a speed test from the conference room device. Teams/Zoom HD video requires:
- Sending: minimum 1.2 Mbps for HD (720p), 3.8 Mbps for 1080p
- Receiving: minimum 1.5 Mbps for HD
If bandwidth is fine, check:
- Is the conference room device on WiFi or Ethernet? Ethernet is always preferred.
- Is there QoS enabled for video conferencing traffic on the firewall?
- Is the conference room on a shared WiFi band with dozens of other devices?
Fix: Connect conference room PC to Ethernet. Enable QoS to prioritise video conference traffic.
Problem 3: Participants Cannot Hear the Room
Cause A: Wrong microphone selected in the meeting app.
Fix: In Teams or Zoom settings, confirm the conference room microphone (not the PC built-in) is selected as input.
Cause B: Microphone too far from participants.
Logitech MeetUp and Rally Bar have a pickup range of 4 to 6 metres. For a 10-person room, the standard single microphone does not cover the far end of the table.
Fix: Add expansion microphone pod(s). One pod per 3 to 4 metres of table.
Cause C: Microphone muted at the hardware level.
Fix: Check physical mute button on conference device. Check LED indicator — red usually means muted.
Problem 4: Camera Shows Wrong View
Cause A: Camera not set to correct preset or auto-framing disabled.
Fix: For Logitech Rally, use Logitech Sync app to configure camera presets and enable RightSight auto-framing.
Cause B: Camera too close or too far from the display.
The camera should be at approximately eye level when participants look at the screen.
Fix: Reposition camera using VESA mount or bracket.
